Executive Assistant II (Library Service)

Major Duties:
(a) To provide circulation and information counter services;
(b) To perform book shelving, shelf-reading, and book removal if necessary;
(c) To assist in cataloguing, acquisition, serial management for library materials;
(d) To provide support in processing different types of materials, including books, periodicals and multi-media items;
(e) To assist in updating library databases and preparing the monthly statistics;
(f) To assist in organising and promoting library activities; and
(g) To assist in leading library tours, draft simple correspondence, answer general enquiries, and carry out general clerical duties.
Requirements:
(a) (i) Level 2 or above in 5 subjects, including English Language *, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR (ii) Level 2 / Grade E or above in 5 subjects including English Language (Syllabus B), Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR
(iii) Diploma of Applied Education + Maths Plus / Diploma Yi Jin + Mathematics / Project Yi Jin; OR
(iv) A recognised Certificate / Diploma / Foundation Diploma / Foundation Certificate / Diploma of Foundation Studies; OR
(v) A recognised Associate Degree / Higher Diploma or above.
* Completion of Hong Kong Vocational English Programme (HKVEP) at Level 2 / Passing 5 specific VTC’s Vocational English Module Certificates is considered an alternative qualification.
^ “Attained” in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.
(b) Possession of related library qualifications and working experience of Integrated Library System (ILS) e.g. Alma will be an advantage;
(c) Proficiency in the use of computer application software, including Microsoft Excel, Word, PowerPoint and Chinese Word Processing and / or simple webpage design;
(d) Proficiency in video editing software and graphic design software will be an advantage;
(e) Good command of Chinese and English, preferably with knowledge of Putonghua;
(f) Good communication, interpersonal and organisational skills;
(g) Detail-minded, able to work independently and be a good team player; and
(h) Pleasant personality, good work initiative and customer-oriented.
Notes:
(1) Applicants with substantial experience and achievements in the relevant field but without the required academic / professional qualifications OR those with exceptional academic / professional qualifications but with less experience may also apply.
(2) The appointee(s) will be required to work irregular hours or shifts as necessary.
(3) The appointee(s) may be posted to any operational units to meet the Council’s operational needs.
